PalmHR strives to provide you with a user friendly platform for a variety of HR related services. By doing so, we recognize that you, be it as a Company (“Client”) or one of their employees (“User”) or simply as an individual who visits our website (“Visitors”) (collectively “you“ or “your”) trust us with your personal data. Maintaining this trust is our top priority and hence we abide by the following principles:

  • We do everything in our power to protect your personal information in connection with your use of our website and Services.
  • In order to do so we have implemented industry standard administrative, technical and physical security safeguards designed to protect your and your employees’ information.

This Privacy Policy applies to data provided on or through the PalmhHR website located at www.palmhr.net , the PalmHR web application and all other services offered by PalmHR through the website and apps (collectively, the “Services”). This Privacy Policy describes PalmHR’s privacy practices in connection with the use of PalmHR’s website, apps and Services. It also describes the choices available to you with regard to the use of your personal information and how you can access and update this information. The use of information collected through the PalmHR Services shall be limited to the purposes of providing the Services for which the User or Client has engaged PalmHR and as otherwise described in this Privacy Policy.

1. What information do we collect?

Depending on what kind of services you are using within the PalmHR software, you need to disclose a variety of personal and or confidential information about your company or your employees.
More specifically, we may collect the following categories of personal information about you:

Registration Information

This refers to your password and login (email) details along with any information that might be necessary to update your account.

Personal information

Your name, physical address, GOSI details, tax and VAT identification numbers, and other personal and corporate identifiers used to manage and track your company’s activity and facilitate human resources processes.

Demographic information

Details about your place of work, gender, age, nationality and any other demographic information.

Family information

Names and personal details for members of your family or others (i.e., dependents) that are under your sponsorship or appointed as emergency contacts.

Bank account information

In order for us to provide you with an automated WPS compliant payroll system your bank account details need to be available in the system.

Benefit information

If you choose to maintain your Insurance details or any other benefit details in PalmHR, we will either collect them during implementation or you will upload them yourself at a later stage.

Information from Third-Party Sites and Services

In case you want PalmHR to be integrated with one of your current service providers, we might have access to data available on such services depending on the nature of desired integration.

Device and IP Information

When you access the Service, we automatically receive the internet protocol (“IP”) address of your computer or the proxy server that you use to access the internet, in addition to other technical information such as your computer operating system details, your type of web browser, your mobile device (including your mobile device identifier provided by your mobile device operating system), your mobile operating system, and the name of your ISP or mobile carrier. PalmHR may log this information and analyze it to determine anomalous behavior, detect threats and generally improve the Service.

Customer Support Interactions

When you contact our Customer Support team, we might open your profile details to better understand the nature of the inquiry and find a suitable solution in the shortest possible period of time.

Cookies, Beacons, Mobile SDKs, and similar technologies

We use cookies and similar technologies, including beacons in email messages, and application developer platforms that use mobile Software Development Kits ("SDKs") to collect information about your use of any mobile application that we make available to you, and other information related to how browsers and mobile devices interact with the Service. These technologies help us recognize your browser or mobile device when you log in to our website and use our mobile applications and help us improve your experience with the Service, increase PalmHRs’ security, and measure and improve the use and effectiveness of our Service.

PalmHR constantly seeks to improve your experience. Hence we gather certain information in order for us to constantly develop our Software and Service offerings.

To integrate with Third Parties

To support our Users and streamline the HR experience, PalmHR may integrate our system with third parties. For example, PalmHR may integrate the Service to support your preferred accounting service provider.

To communicate with you

PalmHR wants to help you know how to best take advantage of the Service, especially as we improve and develop new features. We may send you messages with regards to your use of the service or simply to get some feedback from your side.

To work with our vendors and service providers

PalmHR uses third party vendors and service providers to provide the Service to you. For example, we use a web hosting provider to make our Services available to you in a secure Cloud environment. PalmHR’s instance in our Cloud provider is not accessible to any of their employees except at our request and to carry out our instructions. In other words, all our vendors are limited to their use of your data in the same way that we are limited in our use of your data by this Privacy Policy.

To comply with legal disclosure requirements

PalmHR may disclose your information as permitted by Saudi law to:
  • Comply with a legal requirement or process,
  • Enforce this Privacy Policy or our Service Agreements; or,
  • To protect the rights, property, or safety of PalmHR, our employees, or our Customers and Users.

To disclose to a third party as the result of a sale or change in control of PalmHR

PalmHR may disclose your personal information to a third party as part of a sale of the assets of PalmHR, or an affiliate, or as a result of a change in control of PalmHR or an affiliate, or in preparation for any of these events.

3. What rights do you have?

Right to access, correct, and delete your personal information

Users have a right to access, amend, modify, or delete personal information controlled by PalmHR as necessary. In some cases, information deletion must be coordinated with the employer to ensure alternative HR systems are able to provide the User a legally compliant HR record-keeping system.

4. Important Information

Security

PalmHR follows generally accepted standards to protect Personal Information submitted to us, both during transmission and once we receive it. No method of transmission over the Internet, or method of electronic storage, however, is 100% secure. Therefore, we cannot guarantee its absolute security.

Retention

PalmHR will retain Personal Information we process on behalf of our Clients for as long as needed to provide services to our Clients. PalmHR will retain and use this Personal Information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.
